Plus for FluentCommunity

Complete User Manual — Installation, Licensing, All Features & Analytics

Version 1.4.x

1. Getting Started

Plus for FluentCommunity is a WordPress plugin that extends FluentCommunity with enhancements, analytics, premium styling controls, and integrations.

1.1 Requirements

  • WordPress 6.0 or higher
  • PHP 8.1 or higher
  • FluentCommunity (free) installed and activated — this plugin cannot run without it
  • FluentCommunity Pro required only for Download Tracking (uses the Pro document library)
  • An active Plus for FluentCommunity license is required for all premium Add-On features
  • Translation-ready — compatible with Loco Translate and any standard .po/.mo workflow (see Chapter 7)

1.2 Installation

Method A: Upload via WordPress Dashboard

  • Go to Plugins → Add New Plugin and click Upload Plugin.
  • Select your fluentcommunity-plus.zip file and click Install Now.
  • Click Activate Plugin when installation completes.

Method B: FTP Upload

  • Unzip fluentcommunity-plus.zip on your computer.
  • Upload the fluentcommunity-plus folder to /wp-content/plugins/ on your server.
  • In WordPress admin go to Plugins and activate Plus for FluentCommunity.

1.3 First Steps After Activation

  • Go to FluentCommunity → Plus Settings in your WordPress admin sidebar.
  • You land on the Enhancements tab — all core features here are free with no license required.
  • Purchase and activate a license to unlock premium Add-On features (see Chapter 2).
  • Always click Save Settings after making changes on any tab.
Note: The settings page will not appear if FluentCommunity is not installed and active. Install FluentCommunity first.

2. Licensing

2.1 Purchasing a License

Visit jeffbrigman.com/shop/plus-for-fluentcommunity to purchase. After checkout you will receive a confirmation email with your license key. Keep it safe.

2.2 Activating Your License

  • Go to FluentCommunity → Plus Settings → License tab.
  • Paste your license key into the License Key field.
  • Click Activate License.
  • A green confirmation message confirms activation. All Add-On tabs become visible and unlocked immediately.
Tip: If activation fails, confirm your server can make outbound HTTPS requests. Some hosting environments restrict external API calls — contact your host if needed.

2.3 Deactivating a License

Go to the License tab and click Deactivate License. The license slot is freed and can be used on another site. Always deactivate before migrating to a new domain or server.

2.4 What Requires a License

No license required — free for everyone:

  • Block Self Reactions
  • Custom Default Avatar
  • Default Dark Mode
  • Custom Copyright
  • Timestamp Format
  • Custom Editor Labels
  • Online Now Widget
  • Reserved Usernames
  • DM Restrictions (requires Fluent Messaging)
  • Group Chat Controls (requires Fluent Messaging v2.4.0+)

  • Topic Styling
  • Badge Styling
  • Webhooks
  • Profile Fields
  • Admin Notes
  • Analytics (activity tracking, download tracking, referrer & UTM tracking, full dashboard)

3.2 Saving Settings

Each tab has a Save Settings button in the top-right corner. Settings are saved per-tab. Switching tabs without saving will lose unsaved changes — the plugin warns you before switching.

4. Enhancements — Core Features Free

All features in this section are free, require no license, and are controlled via the Enhancements tab. Each has its own on/off toggle and expandable settings.

4.1 Block Self Reactions

Prevents users from liking or reacting to their own posts and comments. Bookmarks are still allowed. A customizable error toast appears when a self-reaction is attempted.

SettingDefaultDescription

Tip: Keep messages friendly and brief — they appear as small notifications inside FluentCommunity.

4.2 Custom Default Avatar

Replaces the default avatar for users without a profile picture. Supports role-based avatars, a site-wide default, and a fallback option.

Priority Order

  1. Role-Based Avatars — Checked first. If the user's role has an avatar set, that is used.
  2. Default Avatar — Used if no role-specific avatar matches.
  3. Fallback — Used if no custom avatars are configured at all.
SettingDefaultDescription
EnableOffMaster toggle.
Role-Based AvatarsAdd entries per role each with its own avatar image URL.
Default Avatar URLImage URL used for all users without a role-specific avatar.

Note: Avatar images should be square, at least 200×200 pixels, and hosted at a publicly accessible URL.

4.3 Default Dark Mode

SettingDefaultDescription

SettingDefaultDescription
EnableOffMaster toggle.

4.7 Online Now Widget

Displays a live online user counter and expandable member list in the FluentCommunity sidebar. Shows green dots for online now and yellow dots for recently online.

User Status Classification

  • Online Now (green dot) — Active within the Online Now Window (default 15 min).
  • Recently Online (yellow dot) — Active within the Recently Online Cutoff but outside the Online Now Window.
  • Inactive Pool — Not active in the last 24 hours. Used by the FOMO feature only.
SettingDefaultDescription

Recently Online FOMO Min / Max2 / 8Range of extra users added to the recently online count.
Flush & Reload ButtonImmediately clears cached FOMO values and regenerates them.
Note: FOMO inflates the displayed number only. The member list modal always reflects real user activity. Use responsibly.

4.8 Reserved Usernames

Prevents specific usernames from being registered in your community. Case-insensitive. Only exact matches are blocked.

SettingDefaultDescription
EnableOffMaster toggle.
Reserved Usernamesadmin, mod, administrator, moderatorComma-separated list of blocked usernames.
Tip: Include common variations: admin, administrator, mod, moderator, staff, support, help, owner, official.

4.9 Messaging Controls

Two free enhancements that bring staff oversight to Fluent Messaging. Both features require the Fluent Messaging plugin to be installed and active. Settings for both are found together in the Messaging Controls section of the Enhancements tab.

Note: These features have no effect if Fluent Messaging is not installed.

DM Restrictions

Prevents regular members from initiating new direct message threads with community staff. Staff members can always message anyone freely. Members can still reply in threads that staff initiate with them.

SettingDefaultDescription
DM Restrictions ToggleOffEnables the feature. No effect without Fluent Messaging active.
Block messaging to: Community AdminsOnBlocks DMs to WP administrators and FluentCommunity community admins.
Block messaging to: Community ModeratorsOnBlocks DMs to FluentCommunity community-level moderators.
Block messaging to: Space Admins & ModeratorsOnBlocks DMs to admins and moderators assigned to individual spaces (excludes community admins/mods).
Error MessageReserved for future use if Fluent Messaging adds a customizable error hook. Fluent Messaging currently displays its own generic alert.

How It Works

  • When a regular member attempts to start a new DM with a restricted role, the request is blocked server-side and an error is shown.
  • Members can still send messages to each other freely — only messaging selected staff roles is restricted.
  • If a staff member initiates a thread with a member, the member can reply freely in that thread.
  • The three role checkboxes are independent — you can block only space admins/mods without affecting community admins or moderators.
  • Staff always bypass restrictions regardless of settings — they can initiate and reply to anyone.
Tip: Fluent Messaging's "Any Community Members" setting must be enabled for your community. DM Restrictions adds the middle ground that setting lacks.

Group Chat Controls

Allows regular members to create group chats — a feature Fluent Messaging restricts to moderators only by default. When enabled, a designated staff member is automatically added to every group created by a regular member for moderation oversight.

SettingDefaultDescription
Group Chat ToggleOffEnables the feature. No effect without Fluent Messaging v2.4.0+ active.
Auto-Add Staff to Member GroupsMulti-select dropdown of community staff. Selected users are auto-added to every group a regular member creates. Hold Ctrl/Cmd to select multiple.

How It Works

  • When a regular member creates a group chat, designated staff are automatically added as members.
  • Auto-added staff appear visibly in the member list — they are not hidden.
  • Auto-added staff cannot be removed by the group creator or other regular members. They can choose to leave on their own.
  • Moderators and admins can still create groups as normal — this only extends the ability to regular members.
  • The "Make admin" / "Dismiss admin" labels and the "Admin" badge in group chat are relabeled to "Make owner" / "Dismiss owner" / "Owner" for clarity.
  • DM Restrictions role blocking also applies to group member add actions — members cannot add restricted staff roles to groups either.
Note: Requires Fluent Messaging v2.4.0 or higher. The Auto-Add Staff dropdown only lists users with community admin, community moderator, or WP admin roles.

5. Add-Ons — Premium Features License Required

All add-ons require an active license. Without a valid license, add-on tabs are hidden from the settings navigation entirely and their functionality is disabled.

5.1 Enabling Add-Ons

  • Activate your license first (see Chapter 2).
  • Go to FluentCommunity → Plus Settings → Add-Ons.
  • Toggle on the add-ons you want to use and click Save Settings.
  • Enabled add-on tabs appear in the left navigation immediately.
Note: The Add-Ons tab shows a license overlay when no valid license is active. Activate your license to interact with the toggles.

5.2 Menu Styling

Adds sidebar collapse behavior to the FluentCommunity menu. Two modes available — only one can be active at a time.

SettingDefaultDescription
Persistent Menu StateOffRemembers whether each user last had the sidebar expanded or collapsed.
Icon-Only CollapseOffSidebar shrinks to 72px showing only icons with hover tooltips.
Full CollapseOffSidebar hides completely. Content expands to full width when collapsed.
Note: Icon-Only and Full Collapse are mutually exclusive.

5.3 Topic Styling

Customizes the topic filter buttons above posts in FluentCommunity spaces.

SettingDefaultDescription
Hide Unused TopicsOffHides topic buttons with no posts in the current space.
Stack LayoutOffTopics display in a vertical stack instead of a horizontal scroll row.
Topic Filter StyleDefaultVisual style for topic buttons.
Topic ColorsPer-topic color customization: default, hover, and active state colors.
Tip: Leave hover/active fields blank to auto-generate a slightly modified version of the default color.

5.4 Badge Styling

Overrides FluentCommunity user badge colors and typography. When active, Plus badge settings override any colors set in the native FluentCommunity badge editor.

SettingDefaultDescription
Enable Badge StylingOffMaster toggle.
Badge SelectionChoose which badge to style from the dropdown.

5.7 Admin Notes License Required

A private note-taking system for your staff team. Notes are attached to individual member profiles and are completely invisible to regular members. Any staff member with appropriate access can add, edit, and view notes on any member profile.

🔒 Requires an active license + Admin Notes add-on enabled in the Add-Ons tab.

Access & Permissions

The Notes button appears on member profiles for any user who is:

  • A WordPress administrator (manage_options capability)
  • A FluentCommunity community-level admin or moderator
  • A FluentCommunity space-level admin or moderator (any space)
Note: Regular members never see the Notes button or any note content regardless of their membership level.

Using the Notes Modal (Front End)

On any member's profile page, a Notes button appears next to the Message and Follow buttons. Clicking it opens a modal where you can:

  • Read all existing notes for that member, newest first
  • Add a new note with optional image attachments
  • Edit or delete any existing note
  • Pin a note (blue left border — floats to top)
  • Mark a note as Urgent (red left border — triggers an email to all staff)
  • Add tags to categorize notes
  • Watch a member — receive an email notification when any new note is added
  • See who has viewed each note ("Viewed by: You, Jeff, Sarah")
Tip: Notes are automatically marked as read after viewing for 3 seconds. The Viewed By display updates immediately without a page reload.

Notes Log (WP Admin)

Go to FluentCommunity → Plus Settings → Admin Notes to access the full notes log. This shows all notes across all members in a card-based layout with the following columns:

ColumnDescription
MemberThe member the note is about. Displays name, handle, and any Pin/Urgent badges.
NoteFull note text with auto-linked URLs, edit timestamp, and image thumbnails.
TagsColor-coded tag pills assigned to the note.

Filtering and Search

  • Filter by member or by the admin who wrote the note using the dropdowns above the log.
  • Use the search bar to search note content across all members.
  • Sort by newest or oldest.

Bulk Delete

Four bulk delete actions are available at the top of the Admin Notes tab. Each action audits all affected notes before deletion and refreshes both the log and audit trail automatically.

ActionDescription
Delete by MemberDelete all notes for a specific member.
Delete by AdminDelete all notes written by a specific staff member.
Delete by Date RangeDelete all notes created between two dates.
Delete All NotesPermanently remove every note in the system. Requires double confirmation.

Audit Log

An append-only audit trail is maintained below the main notes log. Every edit and deletion is recorded with the original and new content, the staff member who performed the action, and the timestamp. The audit log cannot be edited.

  • Click Export Log CSV to download the full notes log as a CSV file.
  • Click Export & Clear Audit Log to download and then permanently clear the audit trail.

Note: Some sites use a strict referrer policy that prevents the HTTP Referer header from being sent. Use UTM parameters on any links you control on those platforms.

6.11 UTM Tracking

Captures UTM parameters from the URL on every page load. Works even when no HTTP referrer is sent — making this the most reliable method for emails and social posts.

7. Translations

Plus for FluentCommunity is fully translation-ready. All 557 user-facing strings are wrapped in standard WordPress internationalization functions and a complete .pot file is included in the plugin.

7.1 Overview

The plugin ships with a .pot (Portable Object Template) file at languages/fluentcommunity-plus.pot. This file contains every translatable string in the plugin and serves as the source file for creating translations in any language.

  • All admin UI text, settings labels, error messages, and dashboard strings are covered.
  • JavaScript-rendered strings (analytics dashboard, profile field builder, admin notes audit log) are also fully translatable via server-injected variables.
  • Translations are loaded automatically — place your compiled .mo file in the languages/ folder and WordPress handles the rest.
Tip: The .pot file is regenerated with each release. When updating the plugin, re-sync your translation in Loco Translate to pick up any new strings.

7.2 Translating with Loco Translate

Loco Translate is the recommended tool for creating and managing translations directly from the WordPress admin.

Initial Setup

  • Install and activate the free Loco Translate plugin from the WordPress plugin directory.
  • Go to Loco Translate → Plugins and find Plus for FluentCommunity in the list.
  • Click New language, select your target language, and choose a location to save the files.
  • Loco Translate will automatically detect the included .pot file and populate all 557 strings ready for translation.

Translating Strings

  • Use the built-in editor to translate strings one by one, or use the Auto-translate feature for a first-pass machine translation.
  • Click Save when done — Loco Translate compiles the .po source and .mo binary file automatically.
  • The translated strings are active immediately — no server restart or cache clearing required.

Updating After a Plugin Update

  • After updating Plus for FluentCommunity, open your translation in Loco Translate.
  • Click Sync to pull in any new or changed strings from the updated .pot file.
  • Translate the new strings and save.
Note: Translations saved by Loco Translate inside the plugin's own languages/ folder will persist across plugin updates when using the manual upload installation method. If updating via a future auto-updater, keep a backup of your .po file.

8.1 Common Issues

Add-On tabs not visible in the navigation

Your license is not active. Go to the License tab, enter your key, and click Activate License.

Admin Notes button not appearing on profiles

Confirm the Admin Notes add-on is enabled in the Add-Ons tab and your license is active. The button only appears for WordPress admins, FluentCommunity community admins/moderators, and space admins/moderators.

Analytics tab not showing

Requires both an active license AND the Analytics toggle enabled in the Add-Ons tab.

Settings do not save

Click Save Settings after every change. Switching tabs before saving will lose unsaved changes.

Analytics cards show dashes or zero

Check that the relevant event toggles are on in Tracking Settings. Data only collects going forward after enabling.

Referrer card shows no data

Extended Tracking must be enabled. Use UTM parameters on links shared on platforms with strict referrer policies.

Online Now widget not showing

Ensure the Online Now Widget toggle is enabled in Enhancements and settings are saved.

Download tracking not recording

Requires FluentCommunity Pro installed and active, and the Download Tracking toggle enabled in Analytics → Tracking Settings.

License activation fails

Your server needs to make outbound HTTPS requests to the licensing API. Contact your host if outbound connections are restricted.

Translations not loading

Confirm your compiled .mo file is in the plugin's languages/ folder and named correctly (e.g. fluentcommunity-plus-fr_FR.mo). If using Loco Translate, re-save your translation to recompile the .mo file.
